How we use your details.

This notice covers this website and any enquiry you send us. We are the controller of your details, which means we decide how they are used and we are responsible for them.

If you chat with our assistant

Your messages go to the AI service that writes the assistant’s replies. A security service checks that a person started the chat.

Once the assistant has your project and contact details, it sends them to our team with the conversation and a short AI summary. The summary helps us review your enquiry and prepare a reply. A person reads every enquiry.

If you use the project planner

The planner runs in your browser. We receive nothing until you send the email it prepares.

If you email us

We use your message and email address to reply and to keep a record of what we discussed.

When you visit any page

Our hosting and security providers use your IP address to deliver pages and protect the site. If you use the chat, we also use it to apply limits and stop spam.

Why we are allowed to use them

Replying to you and preparing a proposal
You asked us to, so these are steps before a possible contract. We also have a legitimate interest in answering people who contact us.
Running the assistant and stopping spam
Our legitimate interest in offering the chat and keeping the site safe.
Working together, if you become a client
Our contract with you, and our legal duty to keep tax and accounting records.

Who else sees them

AI service provider
Receives your chat messages, to write the assistant’s replies and the summary for our team.
Security service provider
Receives your IP address and basic details about your browser, to check that a person started the chat. It may also use them to improve its own bot detection.
Hosting, security and email providers
Host and protect this site, and carry and store our email. Your IP address passes through them when you visit.
Advisers and authorities
An accountant or other professional adviser if we need one, or a public body if the law requires it.

We do not sell your details. Some of these providers may handle them outside the UK, including in the United States. For these transfers we rely on the safeguards in their data terms, which include the UK’s International Data Transfer Addendum. Email us if you would like a copy.

How long we keep them

Chats
Up to 2 hours on our server, unless the chat is sent to our team as an enquiry. Our AI service provider normally deletes messages within 30 days, and may keep them longer to enforce its usage policy or meet a legal duty.
IP addresses used for limits
Up to 24 hours.
Enquiries and emails
Up to 2 years after we last hear from you.
Tax and accounting records
For as long as the law requires.
(03) Rights

Your rights.

You can ask us to show you the details we hold about you, correct them, delete them, limit how we use them or give you a copy to take elsewhere. You can also object to how we use them. To do any of this, email [email protected].

You do not have to give us any details, but we cannot answer an enquiry without a way to reply.

Automatic checks help us stop spam. If one blocks you by mistake, please email us.

If you are unhappy

You can complain to us at [email protected]. You can also complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk/make-a-complaint.

(04) Cookies

Cookies and storage.

Most pages store nothing on your device. The contact page stores only what it needs to work: a cookie that connects you to your chat, browser storage that keeps your place, and details for the security check when you open the chat. We do not use them for advertising or analytics, so we do not show a cookie banner.
